Exciting new technologies like interactive computer use, improved live video of the speakers, and teleconferencing can be used, but the cost associated of these new technologies can be steep. The type of visual support you may need for your meeting or event can be simple or more complex. Be sure to check all their options and plan ahead:

• Get a list of all the needs of speakers, well before the date of the meeting and schedule a test.
• Allow testing and setup time in meeting rooms.
• Provide speakers with the opportunity to test the equipment to use.
• Test Equipment immediately prior to the event.

• Goods and services barter with rental companies. They may want to advertise in its publications, to display at trade shows, or buy leads from attendees.

• Guarantee of return is often a company policy AV. Customers will be compensated for the cost of rent in case of equipment failure. Even better, many are offered on the site back up.

Check the audio-visual equipment that is available in the meeting room you are using. Many establishments have their own internal audio department. Ask if any audio-visual equipment is included in his room charge? Be sure to check the quality and age of the equipment provided.

Most facilities only provide a podium and a microphone, so you will have to rent additional equipment for audio from a qualified local visual rental company. The facility where they are celebrating their meeting can provide.
